Overview of JOTA

JOTA or Jamboree on the air is conducted on the radio or radio related services and requires the presence of Amateur radio operators which are licensed by the Australian media and communications authority (ACMA).

The amateur radio operator is responsible for all operations of the radio and must be in direct control while the radio station is in use or capable of being used.

An adult leader must assist the radio operator and supervise youth members at all times while they are using the radios, By controlling behaviour and assisting with on-air conversations.

There are 3 grades of Amateur radio operator licences in Australia each has different rights and privileges It is a graduated system. The grades are in order Foundation, Standard , and Advanced.

Amateur Radio Operator Badge

Amateur Radio Operator Badges

All Scouts Australia Members who gain an Amateur Radio Licence are able to wear a special badge. It is a gold diamond with a green central stripe as seen above.

Youth and adult members who have an amateur radio licence may be awarded this badge. The award is recorded as a skill in the member’s record.

Scout members who hold this Badge are able to help or run Jota activities at your event. See Courses to apply for training

Scout/Guides Amateur Radio Call signs

These are available to Scouts and Guides for use throughout the year and during JOTA. They are Scout Call signs VK2SAA to VK2SDZ and Guides VK2GGA to VK2GGZ. If you would like one you need an advanced or (Level 3) Amateur radio operator to be the custodian of the call sign

Please direct enquiries to Email: callsign@nswjotajoti.org For approval and recommendation of Scout call signs and forms to apply to the Wireless Institute of Australia (WIA).

The amateur radio operator will use their own callsign in the absence of a Scout or Guide allocated callsign.

QSL cards

QSL cards are used to confirm radio contacts. speak with your radio Operators for more info. It may be an idea if you are going to be issuing and receiving QSL cards that you get the youth members to design the Card and once again you will need to talk with your radio operators about what the requirements of the card are. At a minimum the cards must have your callsign and the scout or guide logo some ware on them

If your site is using a scout/guide or club callsign over JOTA you must keep a log of all contacts this is a legal requirement from the ACMA, if you are not than logs are optional, speak to your radio operators for more info

Overview of JOTI

JOTI is the Jamboree on the internet which is run by a number of groups There is a number of services offer Check out JOTI which will list the JOTI services

Basic equipment required is a few mid age pc’s or better and a internet connection be it wireless or wired to your site. While the youth members are on the computers an adult leader must supervise the computers to control behaviour and assist with conversations. See the JOTI Rule page form more information.

Avon/Joti Radio

Avon Scout radio / JOTI Radio is a online radio station that streamed to the internet and can be listened to by all scouts and guides worldwide. Over JOTI it changes name to JOTI radio the rest of the year it is Avon Scout radio.

Over JOTI all Internet services and channels may be monitored by specially trained leaders who can remove problem youth members from the service. (you should not be relying on them to supervise your youth members there is some responsibility on leaders on site to control the youth members)

Chief Scout & Guide JOTA/JOTI Message

Download and hear a message by the Chief Scout & Guide and from http://www.international.scouts.com.au/programs-in-australia/jotajoti available from the week before JOTA/JOTI.

The Message will also be transmitted by Amateur radio NSW(ARNSW) News network on amateur frequency as around 12:00 local on the 15th

If you are running a JOTI only site it is recommended that the message be played at opening of the weekend

Scout Working with Children Clearance (WWCC) and Non Scout Members

All persons on a JOTA-JOTI site over the age of 18 and are not members of scouts must submit a WWCC number to Email: wwcc@nsw.scouts.com.au

Non members of scouts can apply for WWCC clearance from http://www.kidsguardian.nsw.gov.au/Working-with-children/Working-With-Children-Check/apply/apply and apply for a volunteer clearance. Which is free, the applicant will then need to report a any Roads and Maritime services (RMS)/services NSW office and show proof of identity (such as driver licence) an application will then be processed and all being well the applicant with have their number in 2 to 3 weeks. The clearance lasts for 5 years.

it is ok to combine JOTA-JOTI with other events as long as they do not totally over shadow JOTA-JOTI always remember that JOTA-JOTI is a World event and so over rides local events, That being said have JOTA-JOTI as a base at a event is fine, if you have any questions Email: contact@nswjotajoti.org

Work place Health and Safety (WHS)

All activity at JOTA-JOTI must comply with WHS Requirements, Extra care must be taken with electrical hazards, trip hazards and Radiation Hazards (Speak to your radio operator about potential radiation hazards)

Social media

Social media is a part of JOTA-JOTI, there is a lot of potential dangers in its use and also a lot of helpful attributes as well. If you decide to use Social media as part of your JOTA-JOTI here are a few recommendations

1. Read the Scout or Guide Social media policy before the event

2. Parents are informed that Social Media is going to be used and if they are happy for their child to be part of the activities

3. Constant supervision is maintained at all times (Special care must be taken with picture based services such as Instagram and snapchat)

Jampuz /JID

All registered JOTA-JOTI sites will be issued with JamPuz / JID this number can be exchanged on air and on line over JOTA-JOTI there is only 1 JID per site, The principle is simple – every time you make contact with another JOTA-JOTI location during the JOTA-JOTI weekend you ask for, and record, their JID – and they will record your JID. J - Code

J-code aims to make very basic communication possible between Scouts and Guides that have no language in common. It is a fun way to try to link up with someone who you otherwise could not communicate with. The code can be used in Scoutlink IRC #intetnational and on radio during the JOTA-JOTI weekend.

Setup and Take down

At the start and end of JOTA-JOTI it is expected that members of scouts and guides should help Radio and computer operators with their equipment in some cases youth members can get credit in their award books for helping out. Give the Radio and computer operators as much help as you can

Who’s event is JOTA-JOTI

JOTA-JOTI is a world scout/guide event and so is seen as a scout/guide event a radio club/ computer club should not be organising a JOTA-JOTI, only providing their time and equipment to help, also an adult scout/guide member should be appointed to help at any JOTA site. Looking after Radio/Internet operators

Please make shore you look after non members who are running the JOTA-JOTI activities, consider giving them a JOTA-JOTI Badge , thank you at the conclusion of the event, keep the water, tea and coffee up to them. Invite them to meals and be understanding with them as they do not always understand our ways, allocate a Leader to assist them with the youth members and act as a go between. And finally a very big one do not ask them to pay big entry fees or expect them to pay for accommodation they are your guests not a cash cow.

Summits On The Air (SOTA)

The SOTA programme is an amateur radio awards programme, not a contest. It is about making radio contacts from selected mountain summits, or making contacts with operators on those summits. It was first launched in the UK in about 2002.

It is possible for JOTA and SOTA can be combined a hike can also be added.

On site CB radio Frequency Control

If you are running other activities on site such as some in our "Not on air / online activities" at JOTA-JOTI you may find the need to use CB radios to run some of the activities, if you have a few of the activities running you may start to have issues of interference between activity’s

To stop this start a Frequency list putting down who has which channel for their Activity request all activities using CB's put their details down on the list. On UHF CB in Australia you can use Channels 9 to 20 , 23 to 30 , 49 to 72, try and not use channels that have traffic from other CB users

Also Security of signals is important, as some CB users like to try and jam other users for their own fun, other CB users may use colourful words that is unsuitable for youths ears. It is recommend that radios with CTCSS are used.

What do i do with youth members when not on the radio or internet ?

When the youth members are not on the radios or Internet they can be doing other activities. Such as listed in the Activities not on air or online guide

It is a good idea to get the leaders of each troop attending your JOTA-JOTI Site to run a activity to keep the youth busy while not on the air or online

Assessments and youth badge work

You may request any of the licensed amateur radio operator to assess youth members for skills related to communications. If able they will help. They may request the requirements of the skill. if they think the youth member passes they will sign name and call sign in the youths award book

ScoutDial

ScoutDial is a Jota/Joti Help service they run a internal phone network using Voice over internet protocol (VOIP) and a text chat service (IRC) and can provide free call service between Scout sites and events over JOTA-JOTI as well as give voice and text chat contact to JOTI moderators and JOTA JOTI HQ. Scout Dials services can be used on PC, tablet, Smartphone. ScoutDial is not just for JOTA-JOTI it can be used at any time. Meeting rooms can also be arranged for group discussions.

Media Releases and Publicity

JOTA-JOTI is a great chance to publicise your Group and Scouting. Combine some of the following details with information about your own JOTA/JOTI activity :

JOTA-JOTI is the largest annual activity in World Scouting.

JOTA-JOTI is held every year on the third full weekend in October.

JOTA-JOTI enables Scouts from ages 6 and up to experience a World Jamboree, meet and share ideas, make friends, and have fun using radio and computer communication.

This year Scouts and Leaders from NSW will make friends and share ideas, along with almost 1 million Scouts and Guides around Australia and the World.

JOTA

Youth Members have the opportunity to learn about and use a range of radio technology. Examples are: data, amateur television, voice, satellite, long range high frequency radio, and Morse code.

Venues vary from the Scout Den or campsite, to high-rise buildings and mountain tops.

Radio operators are the key to JOTA. Equipment and skills are provided at no charge.

 JOTA unites three community groups: Scouts Australia, Guides Australia, and the Amateur Radio Operators.

JOTI

 JOTI was first officially held in 1997, having started spontaneously with the widespread use of the Internet

 JOTI activities include: Internet Relay Chat, Social Media, visiting Scouting websites, exchanging e-mail, voice chat and online gameing.

 netiquette and Social Media Guidelines outline safe and responsible use of the Internet and scouts and guides are suppervised at all times. .

 Youth members find out about online safety and social media do's and don’ts

 Venues may include local Scout dens, campsites, libraries, schools, colleges and universities.

Your Group Checklist

 Register your group at http://jotajoti.info It is open for registrations about two months prior two JOTA/JOTI. You can also complete an online BLOG. This information helps you tell the world what you got up to, and it helps organizers know numbers of participants, and how it went.

 Order JOTA/JOTI badges. ( two weeks before event)

 All persons over 18 on site must have a WWCC (Working With children Clearance) number, Adult Non members must supply a WWCC number.

 Invite a Guide or scout Unit.

JOTA

 Ask a radio operator now if he/she would set up and operate a JOTA Station for you. Arrange a mutually suitable venue e.g. hall, operator’s home, campsite. Give your amateur this web address and point them to the JOTA Operator's Page. Note: most Amateurs do not like one day set up’s as it take a lot of time and work to set up a station, if you require a one day jota consider visiting a radio club, instead as most clubs have a station set up at their club rooms.

An Amateur Radio Club may help you to find an operator. The Wireless Institute of Australia Website www.wia.org.au/clubs/vk2/ lists all of the NSW affiliated clubs and their contact details. Generally the amateur radio operators that assist with JOTA will provide all radio and antenna equipment unless the site has preinstalled radio equipment, like Cataract scout Park.

 Invite your operator to talk at Section meetings about basic radio communication and speaking on air.

 Appoint people to assist your operator and to organise activities

 Prepare some local information to help with conversations on air.

 Thank your radio operator/s, JOTA/JOTI badges and a small certificate make an excellent memento for the radio operators.

JOTI

 Ask a computer expert/ computer club to help you set up the hardware and software (a Youth member may fit the bill). Point your computer expert to the JOTI Operator's Pages.

 Decide what sort of JOTI activity would suit your Group. Some options are IRC (keyboard chatting), email, webcam, voice, visiting web sites, or any combination of these. Talk with your computer team about the requirements of each

 Pick a venue with an internet connection, either wired or wireless, and arrange computer hardware and software.

While some Groups set up computers at their dens, others arrange to use computer rooms at schools or local libraries (please check to see if there are security measures in place that will not allow you to access chat sites).

Familiarise yourself with the safe JOTI operating practices outlined in JOTI Rules

 Find out what charges will apply for use of equipment and access to the Internet.

 Invite your computer expert to speak at Section meetings about computers, JOTI, and netiquette.

 Provide close Leader supervision to police netiquette and keep users within the aims of your JOTI activity.

 Program for participants while not on the Computers

 Prepare some local information to help with conversations on Computers

 Thank your computer operator/s, JOTA/JOTI badges and a small certificate make an excellent memento for the computer operators.
